Covering notes help to personalize your messaging while sending invoices to your customers. To create covering notes to further add to your invoice you need to login to your Swipez account and click on the data configuration option within the dashboard.

 

Click on the Covering Notes option from the drop-down menu that appears.



The page which opens consists of all the listed covering notes created. Click on Create Covering note on the top right corner to create a Covering note.

 

 

To create a covering note a list of Dynamic Variables are provided, these variables when entered provide data taken from the invoice being sent, The dynamic variables are as given below along with their functions.





While creating a covering note it is important to fill these fields:

Template Name: This is the name with which you can distinguish a covering note before attaching it to an invoice, to know how to attach a covering note to an invoice read more.

Mail Body: This is the content within the covering note. To get a clearer idea of how the dynamic variables are used while creating a covering note refer to the example below.

Example:

Dear %CUSTOMER_NAME%,

Please find attached our invoice for the services provided to your company.

It has been a pleasure serving you. We look forward to working with you again.

If you have any questions about your invoice, please contact us by replying to this email.

Thanking You

With best regards,
%COMPANY_NAME%

Mail Subject: This is the subject of the mail which is sent out while requesting payment via invoice.

Example: Payment request from %COMPANY_NAME%

Invoice Label: The option to provide the label of the invoice is also provided.

Example: View Invoice

Attach PDF: To attach a PDF click on enable to enable the same.

To view a test email before saving your settings an option of test mail is provided, upon clicking on it, it requests for an email address on which it sends out an email with your mentioned covering note.



Post viewing the test email you can click on the save button and save the covering note, it will then appear on the covering note list page and within the plugin to add a covering note within an invoice.
